Your Paralegal Is Not A Data Entry Machine

Law firms burn thousands of billable hours on intake forms, file naming and chasing clients. Here is the real cost and how to fix one piece this week.

It is 7:40pm.

Your paralegal is still at her desk, retyping the same client details from an intake form into your case management system. Name. Address. Date of birth. Matter type. Opposing party. Again. For the fourth time today.

She already typed it into the conflict check. She typed it into the engagement letter. She typed it into the file naming convention. Now she is typing it into the billing system.

Same information. Four times. Every single new matter.

And you know what the wild part is? You are PAYING for that. You are paying a smart, trained, expensive human being to be a copy paste machine.

Let Us Actually Do The Maths Because Lawyers Love Maths

Say you open 15 new matters a month. Modest. Small firm numbers.

Say each one eats 40 minutes of pure administrative retyping, filing, renaming, chasing the client for the document they said they sent but did not send.

That is 10 hours a month. 120 hours a year. Gone.

Now add the intake calls that never got returned because everyone was in court. Add the client who emailed a question on Tuesday and got an answer on Friday and told three friends you were slow. Add the monthly bill run where somebody manually reconciles time entries against matters and finds four hours of work nobody logged.

That is not 120 hours. That is closer to 400.

400 hours at your blended rate is a hire you did not have to make. Or a partner draw that got smaller. Or a holiday you cancelled.

And here is the part that actually stings. It is not the money. It is that your best people are doing your worst work. Your paralegal did not train to be a form filler. Your associate did not go to law school to rename PDFs. And you did not build a firm so you could spend Sunday night doing invoices at your kitchen table while your kid asks why you are still working.

You know it. I know it. Let us stop pretending.

The Three Excuses And Why All Three Are Rubbish

Excuse one. Our work is bespoke, every matter is different.

No it is not. The legal ARGUMENT is different. The advice is different. The judgment call is different. That is the part you should be protecting with your life.

But the intake form? The conflict check? The engagement letter template with three variables changed? The client reminder email? The file structure? That is the same every time. It has been the same every time since 1996.

Stop confusing your expertise with your admin. They are not the same thing and pretending they are is the most expensive lie in the profession.

Excuse two. Compliance. Confidentiality. We cannot risk it.

I have real empathy for this one. It is genuine. Client confidentiality is not a nice to have, it is the whole deal, and I am not going to talk you out of caring about it.

But here is the flip. Right now your confidential data is sitting in a shared inbox nobody has audited in two years. It is in a spreadsheet on somebody's desktop. It is in a WhatsApp thread. The manual process is not safer, it just FEELS safer because a human touched it.

Proper automation with proper access control and a proper audit trail is usually TIGHTER than what you have today. Not looser. Tighter.

Excuse three. We tried software once and it was a nightmare.

Yeah. Because somebody sold you a giant platform, charged you forty grand, ran a nine month rollout, and then nobody used it because it did not match how your firm actually works.

That is not a technology problem. That is a somebody sold you a solution before they understood your problem problem.

Completely different thing.

Start Absurdly Small Or Do Not Start At All

Here is what I want you to do. Do not transform your firm. Do not do a digital strategy. Do not book a workshop.

Pick ONE thing.

The one that makes somebody sigh out loud.

Maybe it is intake. Client fills one form, the data flows into your case system, the conflict check runs, the engagement letter generates with the right details, the matter folder builds itself with the right subfolders. Forty minutes becomes four.

Maybe it is the document chase. The client who owes you ID, bank statements and a signed form. Instead of your paralegal remembering to nudge them, they get a polite automatic reminder every three days until the document lands. Nobody has to remember. Nobody has to feel awkward.

Maybe it is time capture. Emails and calls and document edits logged against the right matter as they happen, so the end of month is a review instead of an archaeological dig.

Maybe it is just the inbox. First response inside ten minutes, every enquiry, day or night, so the person shopping three firms picks the one that answered first. Which is almost always the one that answered first.

One thing. Two weeks. Small money.

Because if the small one works, your team TRUSTS the next one. And if it does not, you lost two weeks instead of two quarters.

Macro patience, micro speed. Play the long game with your firm. Move fast this week.

Problem First. Always. No Exceptions.

Now circle the biggest number.

That circle is worth real money and you are giving it away for free every single month.

Then ask your paralegal one question. Just one. "What is the part of this job that makes you want to scream?"
