You Are Re-Typing Every Maintenance Request Twice
How we build a maintenance request system that takes tenant messages, logs them, dispatches the vendor and updates the owner without you re-typing a thing.
It is 8:40 on a Tuesday night.
You are sitting at the kitchen table with a laptop, a phone, and a legal pad. The tenant in unit 4B texted a photo of a leaking sink at 11am. You read it on the job site. You said "got it, I'll sort it."
Now you are typing that same leaking sink into your property software. Then into an email to the plumber. Then into the spreadsheet you actually trust more than the software. Then into a text to the owner who wants to know why he is getting a bill.
One leak. Four separate times you typed the same sentence.
I see you. And I am telling you right now, that is not property management. That is data entry with a landlord's business card.
The Leak Is Not The Problem, The Re-Typing Is
Let me be direct with you.
The plumber is fine. The plumber is great. Your vendors are not the issue. The issue is that every single maintenance request in your business passes through YOUR HANDS as a manual transcription job.
Text comes in. You read it. You re-type it. You forward it. You chase it. You update three people. You close it out. You do it again tomorrow.
Count the requests. A hundred doors gets you what, forty, sixty requests a month in a normal month? More in winter. Say eight minutes of pure typing and forwarding per request, and that is being generous because you are also digging for the vendor's number and screenshotting the tenant's photo.
That is six to eight hours a month of you being a human copy paste machine. Call it eighty hours a year. Two working weeks. GONE.
And here is the part that actually stings. If you are the owner, those hours are not worth fifteen dollars. They are worth whatever you would have made signing another management contract, walking another building, fixing the churn on the three owners who are quietly unhappy right now.
"We Have Software For This" Is Not An Answer
I hear this every time.
"We already pay for tenant work order software."
Cool. Do your tenants USE it? Or do they text you? Do they call? Do they catch you in the parking lot? Do they email your personal address because that is the one they have?
Be honest with yourself for ten seconds. That is the whole game, self awareness. Your software has a tenant portal and your tenants ignore it, so YOU became the portal. You are the integration layer. You are the API. You, at 8:40pm, with the legal pad.
The other excuse: "I'll fix it when things calm down."
They do not calm down. You know they do not. Winter comes, boilers die, and the thing you were going to fix in the quiet season gets pushed to next year again.
Enough. Let me tell you what we actually build.
Here Is What Netforge Sets Up For You
This is not a product you log into. This is a thing we build, plug into what you already have, and hand back running.
The catch. Every way a request comes in gets caught. The text line. The shared inbox nobody empties. The web form. The voicemail. A tenant texts "sink leaking under cabinet" with a photo at 11am, and the system reads it, pulls the unit and the tenant from your existing records, and logs a proper maintenance request. Photo attached. Timestamped. Nobody typed anything.
The sort. Not every request is equal and you know it. A leak that is running is not a squeaky door. We set rules with you, in your words, based on how YOU actually triage. Water, gas, heat, no power, lockout, those go to the top and hit your phone immediately. The squeaky door goes on the list. You stop reading sixty messages to find the three that matter.
The dispatch. Your plumber gets an email or a text with the unit, the description, the photo, the access notes, and the tenant's contact. In the format he already expects, because we ask him what he expects. You did not write it. You did not look up his number. Nobody typed the words "leaking sink" for the second time.
The chase. This is the part everyone underestimates. The system follows up. Vendor has not confirmed in four hours? It nudges him. Job marked done? The tenant gets a message asking if it is actually resolved. Still open after three days? It shows up on your morning list, not in the graveyard of your inbox.
The report. Owners want updates. Owners always want updates. So on Monday morning, each owner gets a short note: what came in, what got fixed, what it cost, what is still open. You did not write it. You approved it with one tap on your phone, or you told us to just send it.
And all of it sits on top of the tools you already pay for. Your property software. Your calendar. Your inbox. Your invoicing tool. That spreadsheet you actually trust. We are not ripping anything out. Nobody at Netforge is going to ask you to migrate a hundred doors onto a new platform. That is how you lose six months and your mind.
What Working With Us Actually Looks Like
Start with a free chat. That is the whole first step.
You tell us what is eating your week. Not a form, not a sales call, not a deck with a hockey stick on slide nine. A conversation with the small senior team who will actually build the thing. We ask a lot of questions. Where does the request come in? What do you do next? Then what? Who complains when it goes wrong?
Then we work out what is ACTUALLY broken.
And sometimes that is not the thing you came in with. You might tell us the maintenance requests are killing you, and after twenty minutes we work out the real bleed is that vendor invoices sit unmatched for five weeks and you are eating costs you should be passing through. If that is what we find, we will tell you straight. We are not going to build you something shiny that fixes a problem you do not have. Problem first, always.
Then we build a small first piece. Sized to what you can actually spend, not what we would love to sell. If the biggest bleed is the re-typing between tenant text and vendor email, that is what we build first. One piece. Plugged into your existing tools. Live.
You see it working in WEEKS, not quarters. This is not a nine month project with a steering committee. We build, you use it, we adjust it when something is off, because something is always slightly off in the first fortnight and that is normal.
Then we hand it back running. And we do not vanish. When your plumber changes his email or you add another forty doors, we are still here.
Once that first piece is paying for itself, THEN we grow it. Rent chasing. Lease renewals. Inspection scheduling. Owner statements. The rest of the landlord admin tasks that pile up in the corner of your week. But only after the first thing works, because macro patience, micro speed. Move fast on the build. Be patient about building the whole thing at once.
Your Tuesday, After
Same Tuesday. 8:40pm.
You are not at the kitchen table. You are on the couch. Or at your kid's game. Or asleep, honestly, because you have not slept properly since March.
The 4B leak came in at 11am. The system logged it, flagged it as water, texted you a one line alert, dispatched your plumber with the photo attached, confirmed with the tenant at 6pm that it was fixed, and queued the owner update for Monday.
You touched it ONCE. From the job site. Five seconds.
That is eighty hours a year back in your pocket. What do you do with it? Sign more doors. Go see the three owners who are wobbling. Take a weekend. I genuinely do not mind which, they are all better than transcribing a sink.
Do This Today
Open your phone. Scroll your texts and your inbox from the last seven days. Count the maintenance requests you personally re-typed into something else.
Do not estimate. COUNT.
Then multiply by fifty two. Look at that number and sit in it for a second, because that number is your evenings, your weekends, and your growth.
Then come talk to us. Go to netforgestudio.com and book a free chat. Bring the number. Tell us what your Tuesday looks like. We will tell you honestly what we would build first and whether it is worth building at all.
No deck. No pitch. Just the people who would do the work.
Stop typing the same sentence four times. Execution. Execution. Execution.
So what are you waiting for?
Ten minutes with our assistant and you will know exactly which job to kill first. Free, and there is no pitch at the end.
